Definitions

Visiting Scholars
A person who has an academic appointment at another institution or is engaged in other professional or creative activity may be appointed as a Visitor to participate in a short-term educational, research, or other academic project under the supervision of an academic appointee.

Visiting Graduate Researchers
Domestic or international degree-seeking graduate students at their home institution who are invited to conduct short-term doctoral research or participate in a mentored or independent research project or master’s research collaborations with a faculty member at UCLA.

The Process

Visiting Scholar

Step 1: Contact C&EE faculty directly to discuss interest in becoming a visiting scholar.

Step 2: UCLA faculty member contacts the Payroll Analyst (melissac@seas.ucla.edu) to provide initial details. Visit the following link for more details: Faculty – Initiating Visitor Process

Step 3: Visiting Scholar contacts the Payroll Analyst to provide additional details: Visit the following link for more details: Visiting Scholar – Initiating Visitor Process

Step 4: Payroll Analyst submits Visitor application to UCLA HSSEAS Dean’s Office.

Step 5: If approved, visitor receives approval letter. For J-1 Visitors, the Payroll Analyst submits the DS-2019 application to the UCLA Dashew Center.

Step 6: If approved, Payroll Analyst coordinates with visitor regarding shipment of DS-2019.

Step 7: Visitor schedules appointment to meet with Payroll Analyst upon arrival to UCLA to complete on-boarding paperwork.

Step 8: J-1 Visitors complete visa check-in and fulfills all other requirements outlined by the UCLA Dashew Center.

Step 9 (if needed): J-1 Visitors repeat process to request extension of stay.

Visiting Graduate Researcher (VGR)

Step 1: Contact C&EE faculty directly to discuss interest in becoming a VGR

Step 2: UCLA faculty member contacts UCLA C&EE SAO (ceesao@seas.ucla.edu) to provide initial details. Visit the following link for more details: Faculty – Initiating Visitor Process

Step 3: Visiting Graduate Researcher contacts UCLA C&EE SAO to provide additional details: Visit the following link for more details: Visiting Graduate Researcher – Initiating Visitor Process

Step 4: C&EE SAO submits VGR application to the UCLA Division of Graduate Education.

Step 5: If approved, visitor receives approval email from the UCLA Division of Graduate Education. For J-1 Visitors, the C&EE SAO submits the DS-2019 application to the UCLA Dashew Center.

Step 6: If approved, the UCLA Dashew Center will email the exchange visitor a link to the DS-2019 form. The exchange visitor will need to print their DS-2019s and sign in blue ink.  The printed DS-2019 is required when applying for a J-1 visa stamp at a U.S. embassy and when entering the U.S.

Step 7: Visitor schedules appointment to meet with C&EE SAO upon arrival to UCLA to complete on-boarding paperwork.

Step 8: Visitor provides proof of registration and fulfills all other requirements outlined by the UCLA Division of Graduate Education.

Step 9: J-1 Visitors complete visa check-in and fulfills all other requirements outlined by the UCLA Dashew Center.

Step 10 (if needed): J-1 Visitors repeat process to request extension of stay.
